What vaults have you made?

I've been happy with my Personal, Work, Parents, and even the Shared vault. Has anyone gone into greater detail with their setup? Maybe creating vaults for Finance, E-Mail, Forums, etc?

I don't think we have a vault limit.. Kinda wondering what everyone else has been doing. =)

  • Hey @Scuba629! Sorry there haven't been any responses here yet. I wanted to jump in and hopefully kickstart things. I personally only have one additional vault in my Families account, and it's for web development clients I help with on a freelance basis. Other than that I only have around 200 items and I don't have trouble organizing them with tags so a multi-vault setup isn't quite necessary. I don't expect many Families users will have a fancier setup than the Personal and Shared vaults by default, and maybe one shared between spouses. Oh and that one the kids secretly created :lol:

    @Scuba629 @penderworth I added an 'Archive' vault for logins, account info etc that have either been closed (but I still want a history of) or logins I rarely use. I make sure this vault is unchecked in the All Vaults view so I don't see the items in my list.

    I use tags for additional organization and although I do miss the Smart Folders I have rigged a similar system identifying information that will expire in this current year. Anything such as a credit card, membership, or driver's license that needs renewing this year gets a Exp16 tag so I can quickly sort to see what needs to be done on that front. I've had a lot of fun with linking things but we're getting off topic!

    @penderworth What are some examples of tags you use? I have't been using them but I could see how they could help out a lot.

  • @iamecho That's an interesting idea with the Archive. I've not heard of anyone doing that before, actually. I like it!

    @Scuba629 I don't use too many since, again, I don't have many items. I have a tag for house which are utility accounts and other things related to my rent and apartment. I also have a tag for email address Login items because I have way too many email accounts from all over the place. And that's about it. Not too crazy. ;)

    First, I only use vaults for shared items, not for organizing my own items. I deleted the main SHARED vault because there is not a single item that I want to share with all family members. If I ever find that I need an "all members" vault, I can just create a new one and add all members to it.

    For my shared vaults, I have one called MIKE-MARY, and another called MIKE-MOM-DAD, etc. that way everybody will always see their own name in vaults they have access to. Customize as necessary.

    For organizing my own items, I use tags. And to be honest, I only use 2: I have a "2FA" tag for any items that use 2 Factor Authentication, just because I like to keep track of those. And I have a tag called "FAVSMIKE" which I use instead of the built-in favorites function. I do this because anything that any family member favorites under the built-in function appears on the favorites list of all members. With my FAVSMIKE tag, I can have my own private favorites. And each family member does the same, with their own FAVSNAME tag. Keeps our favorites separate.

    And speaking of favorites, I have a very small list of items that I access frequently, like my Apple password, my Google Accounts password, etc. These are my favorites.

    The main purpose of tags is to find things quickly. But I find it faster to use the built-in search function. Typing one or two letters in the search box usually brings up whatever I'm looking for. I just don't find the need to group things into folders, vaults, or tags.

    That's how I do it.

    I find myself using tags once in a while. The more items you have, the more it may become necessary. But I usually just search since I have a database of 1Password items in my head already and all I need is access to a specific one most of the time.

    One thing I forgot to mention. A lot of people talk about using a vault or a tag to keep track of items that have an expiration date, such as a credit card or a membership. Personally I just put those dates in my calendar and let automation remind me. Using a tag or a vault might help me find them all easily, but I'd still have to manually check it on a regular basis. The calendar takes it out of mind altogether.

  • I'd love to see us address this need more directly in the future, but until then, a calendar event sounds like a reasonable approach. :)

    I also have an "Archive" vault for old items or rarely used items, but I have them the "old-fashion" way outside of Families/Teams with a vault synced to Dropbox. I didn't want to use up any more Families cloud space with things I don't use. I use 1PasswordAnywhere to access it remotely. Speaking of cloud space, where can I see/manage the cloud space for my 1PfF account? Would I be able to see how much space each family member is taking up? Would I be able to purchase more space if needed?

    @JOeMTC I haven't seen a space limit for Families vaults yet. A lot of people on the forums mention 500+ items so I don't feel anything like that is in place. For documents thats a different story but if I was you I would just put my Archive vault under Families.

    I don't know for sure but I feel that 1PasswordAnywhere will be going away soon too.

    I just wanted to go back to something that was asked earlier:

    I love tags. My photo library has ridiculous amounts of them - it’s a bit unwieldy, actually! So far, I’ve been a bit more reserved with 1Password, but there are a few tags that I’m loving (and I’m pretty sure I got them as recommendations from other awesome users here in the forums.)

    Address - use for any account that I have given my address to. When I move, I just click on the tag to see all the accounts that need to be updated. (Bonus points: create a new Identity item with your new address so you can fill all those address change fields with a single click!)

    Credit Card/Debit Card - tag any account that has your card details. I actually had occasion to use this recently, as the bank detected fraudulent activity on my account and issued me new cards. Using these tags, it took me a few short minutes to update my credit card information on all my subscriptions so I didn’t miss a single payment.

    Also adding a +1 to the Archive vault - I am too chicken to actually delete anything, so the Archive vault is great for keeping it out my way, but still around, just in case.

    I love reading about how other people organize 1Password, I look forward to seeing this conversation grow. :)

    I like the address and credit card tag idea. I'll start using that.

    One note: In 1Password, tags are case sensitive. So Address and address creates 2 separate tags. I'd like to recommend that this be changed. I'm not always consistent with my capitalization, and I occasionally end up with 2 versions of the same tag. Feature request.

    Also, although it's not urgent, please code the tag field to autocomplete. When I start typing a tag, the system should give me a list of existing tags that start with that spelling. Not at all urgent, but it would be useful. Second feature request!

  • Yeah, tags in most apps are case-sensitive. It gets on my nerves sometimes, but there are definitely two types of people: Those who like capital letters and those who don't. The former are usually writer-driven folks, and the latter are developers who use lots of hyphens between things. Since these two types of users exist, I don't see us setting a default for it, but instead letting folks decide themselves and remember their workflow. :)

    @penderworth Just to clarify, autocompleting tags on iOS does not work, just on mac?

    @iamecho Thank you for that link. I am aware 1PasswordAnyWhere won't be/isn't supported anymore. It's a good reminder for those who depend on 1PasswordAnywhere. Considering how rare for me to go back to these items, I'm OK with it. It is a different time with different technologies at our disposal. 1P Teams/Families seem to be keeping up with the times.

    @Megan Thank you for the tip on those two specific tags. I'll defintely will ise that.

    The only tag I have right now is 2fa for accounts with 2 Factor Authentication.

    But I really like the credit card tag; I think I will start using that.
