Recipes for useful smart folders

I've read two posts this morning which made me think that a thread like this might be of interest. I know I'd be interested to see how others are using smart folders so here, to start the ball rolling, is my own recipe for a smart folder showing untagged items.

  1. Choose Show search options from the Search dropdown.
  2. Select the category you want to search.
  3. Leave All of the following are true selected and click the + sign on the far right.
  4. From the Title dropdown choose Number of tags. From the next dropdown choose is and type 0 in the final box.

You can then save the search.

    My wife and I share some login, credit card & other categories of info, while keeping other login items separate to minimize clutter. 1PW4's multiple vault feature is a big improvement for sharing common items; however, it means that we each have to look in two vaults separately to find what we need. My wife is very unlikely to do that, so I've found myself needing to manually copy new/updated shared vault items to her primary vault on her computer until (hopefully) 1PW4 & mini will allow display/selection of items in a consolidated multi vault view.

    The issue is remembering what items I've added/updated recently so I can copy them over for her. Smart Folders are a big help. I've set up a smart folder in the Shared Vault by selecting "Recently Changed Items" from the Search Dropdown, setting the operator to "less than or equal to", entering 7 in the value box and saving it as a smart folder named Recent Updates. I then sort the folder contents by "Recently Modified".

    The resulting smart folder shows anything I've added/updated in the Shared Vault over the last week, sorted by added/updated date. This makes it a lot easier for me to find items I need to copy to her primary vault without needing to keep a separate list or depending upon my memory. Obviously, the 7 for a week can be changed to any number of days.

    @oshleol, that's a really good idea: I've adopted it! (I don't use a separate vault but use a "shared" tag. The idea works just as well with that, of course.)

    I have a few smart folders that others might be interest to others. The first is to find anything that isn't in a folder, which is a variation on the same theme as @Stephen_C's original post.

    I use this to find any items that may have had any conflict merging done by 1Password (due to divergent updates on my iDevices using Dropbox syncing).

    This smart folder I use to focus on Logins that I feel should be stronger than they currently are.

    It was certainly more difficult to construct, and does include some personally named tags to limit the included items. I use a tag of limited strength to indicate items that cannot be longer due to web site rules (why must some sites limit us to 4-8 characters???) and a tag of alias to indicate Logins that really match up with other Logins items and will be merged into one (using the multiple URL per Logins item feature of 1Password 4) when I no longer need to use 1Password 3. If you don't have any tags to exclude in your own case the smart folder really becomes more simple. You'll need to decide what password strength matters the most to you for the last test... I'm going for pretty strong as my base level — note the use of NONE in that last test as I'm basically throwing off the list highly secure items so that only the lesser secure ones are shown.

    I'm curious to find out how everyone is sorting Smart Folders together w/ Folders using the new 1Password 4 sorting scheme.

    Here's my search to find items that might have an expiration date associated.

    In 1Password 3 it was much simpler since many categories were covered by Wallet. Since Wallet doesn't exist I'm now relying on the fact that all the supplied section field names in 1Password 4 use "expiry date".

    I'm referencing a personal tag I call inactive to exclude items that aren't of current interest.

    Thanks for that, @MartyS: I like the clever combined use of field names and tags. It makes me think a lot might be done like that, using smart folders.

    I noticed that the page at [1] has some sample Smart Folders featured under the "Everything in its page" image, it might be useful for new users to automatically have these sample recipes created in a new vault, or to have some kind of "Import demo rules" kind of functionality - similar to the "create demo vault option", or alternatively for a link on that page which goes to a knowledge base article at http://learn.agilebits.com with instructions for this.

    Thanks for the suggestion @rgreen.

    I see how some Smart Folder (aka saved search) examples could be helpful. If not separately importable, maybe they can be included in the Demo vault. And more documentation would also be nice. The Advanced Search image gives some idea of what's possible but is easily overlooked.
