Shared vault update question

I'm sharing a vault with my wife. I have added logins etc. from my Primary to hers. I know if I update something in my Primary, the entry in hers get updated. How about the reverse? If she adds something to her vault I see that on my machine her vault is updated with the new entry but it's not added to the Primary. Is this correct? Is there a way to have anything she adds to her vault updated or added to my Primary? Do I import from her vault?

    Good question! The answer actually depends on whether you're talking about sharing individual items from one vault to another, or if you're syncing a vault with Dropbox and sharing the entire vault with your wife via Dropbox folder sharing. From your description, I'm not entirely sure which kind of sharing you mean. If it helps, we explain both kinds here: Should I share an individual item or an entire vault?

    Basically, if you share individual items, that simply copies the items from one vault to another - the copies of those items are completely separate from the original items, so changes won't sync. On the other hand, if you share an entire vault with your wife via Dropbox, change you make to that vault on your Mac will sync to that vault on her Mac, and vice versa (i.e. syncing is a two-way street).

    Does that help to answer your questions? If you still need help with that, please let us know some more details about your 1Password setup on each Mac, how many vaults you each have in 1Password, how your vaults are setup to sync, which are shared, and so on. Thanks!

    I created a vault to share with her. I put that in a Dropbox folder that is shared with her and that vault is what she uses exclusively in 1P. I then add entries from my Primary and they are synced to her machine. Works great. Changes then made on her machine are reflected in her vault on my machine in 1P. But those changes do not transfer to the Primary of mine.
    I'm wondering about this because if they aren't transferred to my Primary, then the only record of it is in her vault.

    OK, I do see that I can go into her vault and copy entries to the Primary. Although this means I have to remember to check periodically for anything she may have added.

    Hi @jw34,

    Thanks, I think I understand now. It sounds like you have 2 vaults, and the secondary vault is shared with your wife (I'm assuming it's set up as her Primary vault on her Mac). You're copying some items from your Primary vault to your secondary/shared vault, which are then synced to your wife's Primary vault. If your wife makes changes, those changes sync back to your secondary vault, but not to your Primary vault. Is that all correct?

    If so, that's the expected behavior. As I mentioned earlier, sharing individual items from one vault to another simply makes a copy of the original item. There's no connection between those copies of the same item, so it's best to think of them as completely different/separate items that just happen to have the same data.

    Changes to your wife's Primary vault will sync to your secondary vault because those entire vaults sync with each other via Dropbox. But changes to the items in your secondary vault will not affect the items in your Primary vault. Please make sure you take a look at the information in this knowledgebase article for more information about that.

    You have it exactly right! I just wanted to make sure that was expected behavior and I wan't missing anything. Since I found the menu to copy to the Primary, I'll just look every once in a while at her vault and sort by Date Created then copy over anything new or changed to my Primary. Thanks a lot for the help!

    I'm glad to hear that Drew was able to get you sorted out! I have a bit of a follow-up question for you, however. Of course, it's completely up to you how you organize your database in 1Password, but I'm curious about why you feel the need to keep these items in both your own vault, and in your wife's. Part of the awesome thing about 1Password's multiple vaults feature is that you can access data from all of your vaults in a quick and easy way. That's why unlocking your primary vault will also unlock all of your secondary vaults as well. We've also tried to make it simple to switch between vaults: the keyboard shortcut ⌘# ( Command-'vault number' ) will switch you instantly to that vault, which makes it easy to grab the Netflix Login from the shared family vault (which I need on a very regular basis!)

    We are looking to make 1Password's multiple vaults an even better experience for users, which is why I'm requesting your feedback here. :)

    I thought it would just be simple that if my wife happens to update a login in her vault that I might also use in my Primary vault (ex: shared library number) that new information would be updated in my Primary. As I mentioned I realize I can go to hers and look that at any changes she might make, but it's up to me to then copy it over to my Primary. Otherwise I have an older version in the Primary and she has a newer version in hers. Right? If I don't know she changed something and copy it over, then I'll get frustrated because my login information would be incorrect when I tired to login from my machine.

    Hey jw34,
    If you haven't already done so, you might want to check out File Menu>Smart Folders. Using search terms like "Update (day ago)" and "is less than or equal to" with a number (like 7) will give you the changes made in the last 7 days. Saves having to scroll thru long lists of items seeking new changes. HTH,

    @jw34, you're correct about how it works if you have copies of some items in both your Primary and secondary vaults (i.e. if the copy in the secondary vault gets updated by your wife, you would need to copy those changes to the corresponding item in your Primary vault). But the point Megan was making is that perhaps you don't need a copy of those Logins in your Primary vault. Just use the copies of those Logins that are in the secondary vault, and delete them from your Primary vault. If you're only using the copies of the Logins that are in the secondary/shared vault, they'll always be up to date for you if your wife makes a change.
