Merge Vaults

Two separate computers. Same vault. Computer 1 - "master". Computer 2 slave (other users in household). Master is the vault that gets new logins, passwords etc. I need to "update the slave" with the latest and greatest. When I go to import the entire vault the message is that the vaults will be merged. What criteria is used? I was deleting everything in the slave vault and then importing the master but that causes the master password to change to the master password of the "master" vault. The two users have different master passwords. Is there a better/best way to do this?

1Password Version: 1Password Version 5.4 (540046) Mac App Store
Extension Version: 4.4.4
OS Version: OSX 10.11.1 and 10.10.?
Sync Type: iCloud

    Greetings @Steve_H,

So what you want to do is synchronise the primary vault that is on computer 1 but you want it as the secondary vault on computer 2. That's a pretty reasonable request but it isn't possible using iCloud I'm afraid which you've indicated that you currently use. Would you be willing to consider Dropbox at all? The reason I ask is Dropbox allows you to sync multiple vaults and share these with others. Using Dropbox we could have it where computer 1 requests the Master Password for that vault and syncs the vault to Dropbox. On computer 2 it would request the Master Password for whatever primary vault it has and sync the vault from the first Mac as a secondary vault where you would be asked for the Master Password one during setup only.

How do you feel about such setup? If that sounds like a plan we can detail the steps for you if you want

Sorry that this is so convoluted. That seems to be the norm for me :-). Both machines have a primary vault only. On my machine is where all the charges are done (99.99%) of the time. On the other machine, I usually delete all the entries and then add the new vault from a backup. What I would like to do is not have to delete all the entires. The two machines had different master passwords. I would like to update just the changed items.

    Hi @Steve_H,

Thanks for clarifying that! So just to make sure we understand: You want the Primary vault on Mac #1 and the Primary vault on Mac #2 to sync with each other, so they both have all of the same data, and changes will automatically sync back & forth. Is that correct? If so, no problem! The best way to do that will depend on a few things.

Are you using the same Apple ID on both Macs? If so, and since you want to sync the Primary vault on each Mac, you can use iCloud sync (as long as you have the Mac App Store version of 1Password 5 installed on both Macs).

On the other hand, if you use a different Apple ID on each Mac, you won't be able to sync them with each other using iCloud sync. This is because iCloud does not let you share the data with a different iCloud account. This isn't something we have control over, it's just not something that can be done in iCloud at this time.

So, in that case, another option would be to use Dropbox sync. If each Mac is using a different Dropbox account, you can use Dropbox folder sharing in order to share the vault between those two Dropbox accounts, so both Macs can sync with the same sync file in Dropbox. We have steps to set that up here: Can I share an entire vault with my family or co-workers?

Now, it sounds like you may have previously used a backup from Mac #1 to restore that data to Mac #2, but that you may have deleted some (or all) of the items from Mac #2? If so, and assuming you don't want to risk losing those items from Mac #1 when you sync & merge the vaults, there are a couple options. Before doing anything though, make sure you backup your data on Mac #1 (from the main 1Password app, go to File > Backup). Also, I'm assuming all of your latest data is on Mac #1, but if you have some data in 1Password on Mac #2 that you need to keep, stop here and let us know.

I think your best option will be to reset 1Password on Mac #2 by following the steps here: How do I start over with an empty vault? (You would only need to follow those steps on Mac #2.)

After you reset 1Password on Mac #2, open 1Password and you'll be able to sync the vault from either iCloud (if both Macs use the same Apple ID), or Dropbox. We have steps to do that in this section of our user guide. Once you have that setup, you won't need to worry about deleting your data from Mac #2 again, because any changes you make from one Mac will sync to the other, so they should always have the same data.

Does this help? Please let us know if you have questions about any of that. Thanks!

Automatic is not necessary. Manually updating #2 if fine. Different Apple ID's. Originally looking for the information as to what does 1Password use when you "merge" the vaults. I would only like the newest data to replace the older existing data.

Drew, thanks for all the great information. What I have finally settled on is to sort the #1 vault by date modified and export those that have changed (within my time period). The I import that file into #2. Slow, old fashion, time consuming and a bit clumsy but it works. :-)

  • @Steve_H Glad to hear Drew was able to help you out with this. How did everything go? If you have any other questions, feel free to let us know. :)
