Syncing data in program with shortcut key info on desktop

I have a Macbook with Yosemite 10.10.5. (Sorry I don't know all the terminology) but I put in all info and passwords into the program and expect to find a correlating data for use where the key icon on my desktop is but they're not synced. How do I get them to sync up so the shortcut has as much information and it's updated? '
