Vault Sharing Questions

I have 1Password 5.0 on OSX 10.10 Yosemite, I have created and successfully shared and synced a secondary vault for the first time. I had some difficulty but I got it sorted eventually via Dropbox sharing. Can you help with a few questions?!

How can I test the login for the secondary vault on my Mac to be sure I have the correct password for it before sharing it?

I would like to know if I sync via iCloud, does the recipient of the shared folder need my iCloud password each time they open it or just when it's shared?

Can I have more than two vaults (not including the Demo vault)?

I've read the official instructions (link below) on creating the shared vault, but how do I edit the shared vault, such as the change the picture after the vault has been created?

Do I have any administrative privileges as the creator of the shared vault?

Thank you for your help.

@ianonline‌ There's a few questions in there

    1. When 1Password is locked it be default asks for the master password of your primary vault but you can actually switch to a secondary vault and unlock just it. You can switch vaults either via 1Password : Switch to Vault or use the keyboard shortcut ⌘N (where N is the number of the vault you're switching to). When you switch to a secondary vault you require that vault's password so that's one way to test it.
    2. iCloud currently only allows syncing of your primary vault and not secondary vaults. If you were wanting to share your primary vault via iCloud they would have to log into your Apple account permanently - not an ideal option so no doubt you'll be discounting it swiftly.
    3. Some people have more then ten vaults and AgileBits aren't aware of an upper bound. Personally, if you keep it below nine secondary vaults then they'll all be easily accessible via the keyboard shortcut I mentioned above - I'm guessing you need to use the menu system with more.
    4. Vaults are still pretty new so editing the picture or colour used by a secondary vault isn't easy. I believe essentially what you end up doing is creating a new vault stylised to your new requirements, move everything across and then delete the old one. Not ideal I know.
    5. Anybody with access to a shared vault has equal authority to view, edit and delete. There aren't any administrative privileges I'm afraid.

If any of those answers seemed a little terse just yell and somebody (if not me) will expand on anything I haven't gone into enough detail on.

    Hi @ianonline‌,

Congratulations on setting up your first shared vault

How can I test the login for the secondary vault on my Mac to be sure I have the correct password for it before sharing it?

Simply switch to the secondary vault by clicking in 1Password mini's keyhole icon and enter your secondary vault's password.

I would like to know if I sync via iCloud, does the recipient of the shared folder need my iCloud password each time they open it or just when it's shared?

iCloud sync will only work with the primary vault. It requires to be used on a Mac logged in to iCloud using the same Apple ID. It is not a recommended sync solution for shared vaults.

Can I have more than two vaults (not including the Demo vault)?

Yes, you can have as many secondary vaults as you wish. Use them responsibly

How do I edit the shared vault, such as the change the picture after the vault has been created?

For now you cannot edit a vault in 1Password, If you wish to edit (rename it or change the picture), you need to create a new secondary vault and set all its attributes as you please, them move all your items to the newly created vault and finally remove the old vault.

Do I have any administrative privileges as the creator of the shared vault?

Not really, once you share the vault anyone can add, update or remove items from the vault.

Hope that my answers will help you

    Cheers!

Thank you for your help both of you, I am glad to get them all answered with one post. However one thing I should add is that I am never asked for password when I switch between vaults, the only way I have found to check the password is to share it and then the recipient (who is not very tech savvy) lets me know if it works.

Personally I just unlock the primary vault and can then switch between vaults with the ⌘1 or ⌘2 shortcut, no further password entry required, unless the app locks itself when unused for a while. This is true on both Mac and iPad apps and there is definitely a password on both vaults. Thanks for your help.

You can test the password of a secondary vault by choosing only to open that vault when you start 1P, I think. (I can't test it because I have only a primary vault). Try looking at the 1P5 menu item before you unlock 1P.

The password for any secondary vault is stored hidden in your primary vault—which is why you can switch between primary and secondary, without the secondary password, once you've unlocked your primary vault.

  • Hi @ianonline‌,

If you unlock 1Password by providing the password for your primary vault, then you will not be prompted again for any of the other vaults while you're unlocked. If you unlock it by providing the password for a secondary vault as @Rad‌ mentioned, then it will prompt you again for the primary vault password if you switch to the primary vault.

So to test the secondary vault password, you should lock 1Password, then from the 1Password > Switch to vault menu you should choose your secondary vault. Then provide that password to unlock.

I hope this clears things up.

    @ianonline‌

    Raises hand,

I am the culprit whom has circa 10 vaults, (it fluctuates as I'm in the middle of reorganization) some shared thru Dropbox, some not (also in Dropbox). I maintain keychains for all my children (4) as well as several older non tech savvy friends (2). The remainders are a shared family (1) and personal (1) / personal work (1), and the same for the wife. Oh an archive vault too.

I have never had a single issue with multiple vaults.

If you need anything, or have more questions please do ask away. :)

    Hey there!

    Couple of questions/comments:

    1) When I "copy" an item to a secondary vault, is that item then treated as an entirely independent item? Or if I make an edit to it in my primary vault, will the edits also be copied over to the secondary vault?

    2) Comment - I would LOVE it if there could be user/administrative privilege settings added to secondary vaults.

    Thanks,
    Bob

@bnpluss‌ allow me to answer the first of your questions:

When I "copy" an item to a secondary vault, is that item then treated as an entirely independent item? Or if I make an edit to it in my primary vault, will the edits also be copied over to the secondary vault?

The item copied to the secondary vault is independent and not linked to the item in the primary vault. Hence if you make changes to the item in the primary vault and want those changes reflected in the item in the secondary vault you will have to copy over the updated item to the secondary vault.

Thanks @Stephen_C for your quick response.

Another quick comment (feature request) that would be appropriate in this thread:

    • It would be awesome to have the ability to share "read-only" vaults. Where the items placed in that vault are linked to the primary vault, so when changes are made, they are automatically updated in the read-only vault as well.
