Edit existing smart folders criteria missing

I am not able to edit existing smart folders' criteria, as not criteria is no longer showing in some folders. I don't recall the extensive criteria to rebuild each smart folder. I saw this was a known bug in 2013. What is the status?

    Hi @sb1pw,

    Can you please elaborate on the problem you're experiencing? I'm not sure if I understand exactly what you mean. In the main 1Password app, you should be able to right-click on a Smart Folder in the sidebar and choose Edit Smart Folder. Then the search options should appear at the top of the window. What happens when you do that? The more details you can give us, the better.

    Also, please let us know the version of OS X running on your Mac, as well as the exact version of 1Password (from the main 1Password app, go to the menu for 1Password > About 1Password).

    I saw this was a known bug in 2013. What is the status?

    Is that something you saw in another forum discussion? If you can give us a link to the discussion where you saw that, it will help us to figure out exactly which bug that thread was referring to. Thanks!

    Thanks Drew,

    I'm running OS 10.8.5 and app store 1Password 4.4.1.
    In the main 1Password Mac app, I have smart folders (I assume that I migrated from the last version) that don't show what the folder criteria is if you control-click (or right-click), then go to Edit Smart Folder. It just looks like you are starting fresh. The folder seems to be working correctly- it contains what it should have for items, but if I want to see or adjust what I am asking it to do- I can't. There isn't any information there.

    Thank you very much for the details, screenshot, and link! I wasn't able to reproduce this in version 5.3 (on OS 10.10.3) so it's possible this was fixed in 1Password 5, but I can't seem to find the exact bug report mentioned in the other forum discussion so I can't verify that.

    However, you mentioned your Smart Folders were created in a previous version of 1Password, and that was the case in the other forum discussion as well. If you create a new Smart Folder (File > New Smart Folder), add some search criteria, save it, and then try to edit it, does that work correctly?

    If new Smart Folders work correctly, you can create new Smart Folders with the same criteria as the older/existing ones, then delete the older ones. That might be a problem if you don't remember the exact criteria used in the old Smart Folders, though. But if you remember and can re-create them, that should take care of the problem.

    Hi Drew,

    I'm only assuming the folders that aren't working are from an older version of 1Password. But as I'm looking at it more, it appears that only Smart Folders in my secondary vault are not working... My primary vault's Smart Folders are all working normally. None of the Smart Folders in my other vault are retaining criteria. It also appears that new Smart Folders are working correctly in any vault.

    So is it upgrading to a newer version blew it out or is it there is something that got corrupted when I moved these items into a secondary vault...?

    If I remembered the criteria, I could rebuild them, but I don't. Some are fairly old (and out of my brain) and others are complex.

    Hi @sb1pw,

    I tried creating a smart folder in a secondary vault in 1Password 4.4.3 and it allowed me to edit it, showing the criteria. Of course there may be many causes that would mean it would work okay right now for me, telling us nothing about why it's playing up for you.

    Now the smart folders are still working, is that correct? I can't guarantee anything but what I discovered in my messing about is that if you export your vault, you can edit the resulting file and trim it down to just the smart folder entries. They aren't in a readable format but just maybe when you import them back (possibly in another vault), they'll be in a more usable state.

    If this is something you'd like to try let us know. All you would need is something like TextWrangler, a free text editor you can also find in Apple's Mac App Store. It has a couple of features that will make editing the data.1pif file a little easier.

    There have been a few cases where the criteria's internal tests/values have changed between 1Password versions. All in the name of progress, I'm sure! :chuffed: When that happens, the newer version of the application doesn't know what to make of the older Smart Folder internal criteria so it displays "nothing" (or nothing useful). When that happens you'll need to temporarily run the older version of 1Password to view the Smart Folder… then gather up the criteria (I like to take a screenshot) and using the newer version once again setup a new Smart Folder as @Drew_AG suggests.

    Since this seems to be an issue only for one of your secondary vaults, you hopefully can figure out what version of 1Password was in use for that vault to perform this manual carry-forward of your criteria. All prior versions of 1Password for Mac are available for download in case you no longer have access to the earlier version.

    I can create new Smart Folders anywhere and go back in and see their criteria. I just can't go back into the ones that were previously created- whether it was in a different version or when I moved the items from the primary vault to a secondary vault. I will think about doing you TextWrangler idea. Not sure when I will have the time, but would love to get this resolved!

    All of the Smart Folders are working- they are displaying the results of some crazed idea I once had that I can't remember, which is why I can't really recreate.

    I could pull a back up to see if I can find the right version that will display what is missing. That's a good idea that I hadn't thought of! If not, maybe I will grab some of the older versions to see if I can resolve.

    I tried updating my 1Password, to see if there was a bug fix... I only made it up to 4.4.2 (from 4.4.1)! Newest requires OS 10.10, which I would likely not be able to upgrade to on this (main) machine.

    Now if I could just get the password history to show when I'm in edit mode- when I need it...

    I just checked 1Password 5.3 and yeah, the password history isn't visible when you edit. I don't know if there was a reason at some point but it doesn't seem an outrageous request to be able to see it. It's a complete guess but I wonder if somebody didn't want to seen in edit mode so people didn't think it could be altered? Who knows but I think I'll submit a feature request for that.

    Now, back to your Smart Folders. I'm not aware of what @MartyS reported but it could easily be that he's a veteran of 1Password and/or been more of a power user than I in regards to Smart Folders. Let's see what happens with the TextWrangler idea.

    1. Launch 1Password.
    2. Use the File > Export > All Items... drop down menu option.
    3. Enter your Master Password when requested.
    4. Save your exported vault to your Desktop and in the .1pif format (the default).
    5. Launch TextWrangler.
    6. On your Desktop, enter the folder that your export created, it will end in .1pif. In there you should see a file called data.1pif. Drag that file to the TextWrangler icon in your dock to open it.
    7. You should have a data.1pif and untitled text in your Currently Open Documents pane on the left hand side of TextWrangler. Ensure the data.1pif is selected if it isn't already.
    8. You will want to ensure Soft Wrap Text is off by ensuring Soft Wrap Text isn't ticked in the drop down menu View > Text Display. Soft wrapping will just make it harder.
    9. Also in View > Text Display, if you see a Show Line Numbers option select it. If it says Hide Line Numbers ignore it. Again, that might just help you a little.
    10. ⌘F will bring up the Find window and you can search either for smartFolderVersion or system.folder.SavedSearch. Both should find all the entries you relating to the Smart Folders.
    11. For each line mentioning those, copy that line and the line after it into the untitled text document.
    12. Save this untitled text file with the name smart_folders.1pif or similar, as long as it ends in .1pif. The default line breaks and encoding are fine.
    13. If you're cautious, create a new (and empty) secondary vault in 1Password to test this file with (to avoid anything being possibly overwritten).
    14. You can import the file you created using the File > Import... option. If it's successful you should have your Smart Folders in this empty vault.

    This is the moment of truth. If you try to edit these imported Smart Folders does 1Password show you anything more than it did before?

    If it does, if importing the folders causes them to work a bit better you should be quite safe in importing them back into the original vault. They'll overwrite the existing Smart Folders but that's fine given the situation.

    Regardless, if you find the time to try this I would be quite interested to know if it has any effect.

    Well, that's pretty detailed! When I get some time and my brain is working, I want to try this. Looks like good fun anyway- just to see what happens. Will let you know what I find.

    As for the password history, I remember it being accessible within edit mode, but it no longer is. Seems very often that I (and others here that use it) need to know the old one was while in that item. Good example is when a website tells you you need to create a new one... so you create a new one, THEN it asks you what the old one is. Quite inefficient the way it is working now. Course, I may be stuck with 4.x because of my OS.

    I've created a ticket about the password history but the bad news is even if it comes back it would only be in the current version and not 1Password 4 - sorry. At some point though you may very well update and if you do hopefully an improved 1Password will be waiting for you :smile:
